Logistic Officer and Translater vacancy for "ACTED-Indonesia" _____ VACANCY ANNOUNCEMENT "ACTED (Agency for Technical Co-operation and Development) is an international NGO founded in 1993 and headquartered in Paris. ACTED provides relief to victims of conflict and natural disasters as well as local vulnerable populations. Its activities range from emergency relief to long-term development projects. In 2004, ACTED implemented 160 projects in seventeen countries in Africa, Central Asia, Europe, Latin America and the Middle East.
The 26 December 2004 tsunami caused numerous losses of lives and tremendous damage in Northern Sumatra and Aceh province in particular. ACTED responded to this disaster by launching emergency and post-emergency programs targeting IDPs, returnees and local vulnerable populations, with a focus on Meulaboh region, and more recently on Nias island. Current sectors of intervention are road project to connecting Moro'o sub district to Tugala Oyo sub district and livelihood project in Lahewa, Lahewa Timur, Afulu sub district and also in Meulaboh, NAD. Now, ACTED is looking for LOGISTIC OFFICER to be based in Lahewa - Nias and English Teacher/Translater to be based in Nias. 1. LOGISTIC OFFICER Department: LOGISTIC Position: LOGISTIC OFFICER Person In charge: LOGISTIC MANAGER Location: LAHEWA - NIAS Starting: 15 OKTOBER 2008 Duration: UNTIL 30 JUNE 2008 Responsibilities Main Responsibility 1. Procurement 2. Stock Management 3. Asset management 4. Fleet and Fuel Management 5. Security 6. Filling and 7. Reporting Other Responsibility Management * To supervise all sectors under its management (logistic administration assistant, store keeper, guard, cook, cleaner) Administration * To provide Logistic Manager and Logistic Coordinator with materials/equipment procurement request for approval and coordination with Finance Department * To check and monitor each materials/equipment and specifications in request form * To work out drafts of documentation for reception, distribution and storage of materials/equipment , to work out manuals for technical maintenance of vehicles and regulations for drivers (ACTED property and rent or lease) * Make sure the budget line and a funding line attached with each item is correct and still funded and discuss with Logistic Manager, Logistic Coordinator and Administrator * To make 3 quotations and or 4 quotation from the supplier respecting the specifications of the request and purchase procedure Indonesia and headquarter Paris * Fill in the request for quotation and attach the quotations to the purchase form or order form and approval by Logistic Manager and or Logistic Coordinator * Receive the order form from Logistic Administration Assistant and make sure order is copied and given an order number * To responsible for the all follow up of its purchase, from the order form to the delivery of the item he purchases. * To make sure himself what is he purchasing the price is reasonable and request to approval by Logistic Manager and or Logistic Coordinator * If he cannot find some items, he should refer to the Logistic Manager and or Logistic Coordinator to find other ways to buy the item * He should be respecting the delivery deadlines in order form * He has to keep note/record for payments on what he purchases * To prepare logistic activities report and request to approval by Logistic Manager and or Logistic Coordinator Contracting * With accordance of Administration Indonesia and headquarter Paris to make contracts with suppliers and approval by Logistic Manager and Logistic Coordinator Storage/Inventory * To check and control regularity of storage and distribution of materials * To organize storage and inventory of ACTED property Transportation/ Supply * To organize supply of materials/equipment necessary for implementation of ACTED programs in Meulaboh and Nias area (Indonesia) * Preparation cost estimation for transportation of materials/equipment and control maintenance of transportation expense * Arrange of custom clearance for incoming and outgoing materials/equipment between Operational Area and Head Office in Indonesia Vehicle Regulation * Preparation vehicles (ACTED property and or rent) with technical working conditions * Provide and prepare technical maintenance and repairing vehicles (ACTED property and or rent) and other equipment * To work out, cooperatively with program managers and administration, measures on effective vehicle use and reduction of expenses related to vehicle use Qualifications Qualified candidates will have: * Baccalaureate or University degree of relation to the field (Economy Management, Transportation Engineer, Industrial Engineer, Technical Engineer, Business Administration, Office Management) * A minimum of 2 year experience in Logistic and Forwarder Companies (International NGOs and UN Agency is preferred) * Good knowledge in Computer programs, Word, Excel and Internet is preferred * Language skills: excellent written and spoken Indonesia, fluency in English (Achene's and Nias is preferred) 2.
